We (Wilna, responsible for Jardinière la Eden) handle your data with care and only for the purpose for which you gave it to us. This page explains what data we collect, why, how long we keep it and what your rights are under the GDPR (General Data Protection Regulation).

1. Data controller

The controller responsible for processing your personal data is Wilna, host of Jardinière la Eden in Moux (Aude, France). You can reach her at e-mail address (turn on JavaScript to see it) .

2. What data do we collect?

When you fill in an application at /aanmelden, we store:

  • Name and email address
  • Country and phone number (optional)
  • Preferred arrival and departure dates
  • Areas of interest and texts you write yourself (about yourself, skills, notes)
  • Your language choice on the site
  • IP address and browser information (to protect the form against abuse)
  • Date and time at which you agreed to this privacy statement

3. What do we use the data for?

  • Contacting you to discuss your application
  • Assessing whether you can come and help at Wilna's
  • If your application is accepted: creating a helper account for you and communicating through the portal
  • Preventing fraud and abuse of the application form

4. Legal basis

Your personal data is processed on the basis of your consent (Article 6(1)(a) GDPR), which you give via the checkbox on the application form. You can withdraw this consent at any time by having your data deleted.

5. Retention period

We keep your application for as long as it is relevant to Wilna, for no more than 24 months after the end of your stay or after your application is rejected. After that, your application, including the messages, is automatically and permanently deleted. You can ask for deletion sooner (see section 8). For security, we make a backup every night, which is kept for no more than 14 days; after that, deleted data also disappears from the backups.

6. Cookies

This site does not use any tracking or advertising cookies. Only strictly necessary cookies:

  • Session cookie (technically necessary): keeps you logged in to the admin or helper portal. Expires after 8 hours or as soon as you log out.
  • Language cookie: remembers your language choice (NL, EN or FR). Expires after 1 year at most.

When you choose a language in the welcome window, that choice is stored in the language cookie. Your browser also notes in its localStorage that you have already seen the welcome window, so that it does not keep coming back. That note is not a cookie and it does not leave your device.

Map. The home page shows a map from OpenStreetMap. When you scroll to it, your browser loads the map from the servers of the OpenStreetMap Foundation (United Kingdom), which therefore receive your IP address. OpenStreetMap does not set tracking or advertising cookies. The United Kingdom is covered by an EU adequacy decision.

7. Who do we share your data with?

We never sell your data or share it with third parties for commercial purposes. The following parties process limited data on our behalf:

  • Strato AG (Germany): manages this website's domain name. Strato does not receive your application data.
  • Google (Gmail): Wilna's mailbox. Notifications of new applications, messages from the helper portal and your replies to our emails arrive here. Google may also process data outside the EU; the safeguards of the EU-US Data Privacy Framework apply.
  • Nathan Duinkerk (Nateo), web developer (the Netherlands): built this site and manages the web server where the application data is stored and from which the site sends its emails. The server is rented from IONOS (Germany). Access for maintenance only.

These parties handle your data carefully and confidentially. Agreements on confidentiality and security have been made with the web developer.

8. Your rights

Under the GDPR you have the following rights:

  • Access to the data we hold about you
  • Rectification of incorrect or incomplete data
  • Erasure of your data (the "right to be forgotten")
  • Restriction of processing
  • Portability of your data in a readable format
  • Withdrawal of your consent at any time

How do you delete your data?
Send an email to e-mail address (turn on JavaScript to see it) with "Request to delete" in the subject line. Please include the email address you used to apply. We will process your request within 30 days and send you a confirmation.

9. Filing a complaint

If you are not satisfied with how we handle your data, you can file a complaint with the Autoriteit Persoonsgegevens (the Dutch Data Protection Authority, NL) or with the CNIL (the French Data Protection Authority, FR).

10. Changes

This privacy statement may be updated. You will always find the latest version on this page. If there are significant changes that affect your consent, we will inform you proactively.
